1. Frequently asked questions
1.1 What does restarting training involve?
Restarting training involves resetting all sections of a course for a user, allowing them to complete all elements of the course again. This may be necessary if they wish to revisit the content before their scheduled review or if they were inactive during the automatic reset period.
1.2 Can users retake courses at their convenience?
Yes, users have the flexibility to revisit training modules anytime to refresh their knowledge. However, if a course includes an assessment, such as Display Screen Equipment for Agile Workers or Hybrid Working (DSE), users can retake it only if their circumstances change. Tests at the end of modules cannot be retaken unless the training is restarted, and the original completion dates are retained in the training timeline unless there is an assessment involved.
1.3 Understanding scheduled training resets
As a Client Administrator, you can establish schedules in the Management System to automatically reset training for users after a specified period. If training hasn't been reset as scheduled, it's possible that users were inactive when the schedule was initiated. You can verify this by checking the View History tab on the user's profile. If a user was inactive during the scheduled reset period, they will need to have their training manually restarted, and a new Training Notification sent out.
2. Restart Training from the Management System
- Go to the Management System within the Users tab.
- Click on the View Training icon next to the user's name. This action will open their training timeline, listing all courses associated with their profile.
- Use the drop-down menu located in the top left corner to select the desired course for restart.
- Two buttons will appear called Restart Course and Mark Course As Complete.
- Clicking Restart Course will trigger a confirmation message asking if you are happy to restart the course for the user to complete it again.
- Choose Yes to confirm the restart, or No to cancel and return to the user's training timeline without making any changes.
- The Training Timeline will display a dotted line indicating the date when the course was restarted.
- Clicking on the All Training button will reveal any previously completed training below the dotted line. Each reset course will be separated by this dotted line.
- You can send a new Training Notification to the user, prompting them to complete the course again.
- If applicable, the user will be entered into a new scheduled retrain cycle.
3. Restart Training the Reporting System
You can also bulk restart training for groups of people via the Reporting System.
- Navigate to the Reporting System.
- Choose the Training & Assessment Report (or Agile Training Report for Agile style courses).
- From the Primary Filters then Courses menu, select the desired course to restart.
- Apply any relevant Secondary Filters, such as Department Group, depending on the specific group of people for whom you want to restart training.
- Select the relevant group name from the filter options.
- Ensure you can view all relevant users by selecting All items per page if necessary. You'll see up to 10 users in a table at the bottom of the report.
- Choose Select All users from the middle of the page.
- Click on Email to send notifications to the selected users.
- Choose the email type and template. For restarting training, select Schedule Notification.
- Optionally, use the Send copy to: option to send additional copies of the email to specified recipients.
- Scroll down within the dialogue box and ensure you select Clear down training for selected courses? This step ensures the course is completely restarted for the selected users.
- Review and edit the Email subject and body as needed.
- Click Send to immediately send the Schedule Notification or schedule it for a future date, up to 30 days in advance.
