Migrating Workplace Training login to Ideagen Hub for SSO customers

Ideagen Workplace Training is migrating its login and authentication to Ideagen Hub, Ideagen's unified platform experience, which means users will log in through Hub rather than the existing Workplace Training login page.
1. Understanding what is changing
Ideagen Hub brings together all Ideagen products under one modern, connected login experience. For Workplace Training customers, this migration provides:
- A more streamlined and consistent login journey for your users
- Stronger, enterprise-grade security through AWS Cognito
- A foundation for future product enhancements, including access to Hub's unified dashboard and notifications
- Alignment across all Ideagen products your organisation uses
- Access to Mazlan, Ideagen's AI platform that sits across all products
- Agentic AI features currently in development for Workplace Training
2. Understanding the impact for SSO customers
Your login URL will change. After migration, users will access Workplace Training via the Ideagen Hub login page rather than the existing Workplace Training URL. You will receive the new URL ahead of your migration date.
A short setup window may be required. Depending on your SSO provider, a small configuration change may be needed on your side to point to Hub's new endpoint.
3. Preparing for migration
Your Ideagen Account Manager or the migrations team will contact you ahead of your scheduled migration date with a specific checklist for your configuration. To prepare for the migration:
- Confirm your SSO provider details with the migrations team, including SAML metadata or SSO endpoint details for your identity provider.
- Test access in the staging environment provided before the live cutover.
- Communicate to your users that the login URL will change ahead of the migration date.
- Review any IP restrictions and update your allowlist to include Hub's endpoints if your organisation restricts access by IP address.
4. Understanding what happens on migration day
The migration is designed to be seamless and is performed outside UK business hours to minimise disruption. On migration day:
- Your Workplace Training tenant is migrated to Hub by the Ideagen migrations team
- User accounts are moved to AWS Cognito
- Your SSO configuration is applied to Hub
- A smoke test is performed to confirm login is working correctly
- You will be notified when the migration is complete and the new login URL is active
5. Frequently asked questions
Will my users' training data be affected?
No. The migration only affects the login and authentication layer. All training records, completion data, course assignments, and reporting data remain fully intact.
Will my users need to reset their passwords?
Users with standard password-based login will need to set a new password via a welcome email when they first log in to Hub. SSO users will not need to take any action and will continue to use their corporate credentials as normal.
What happens to my existing Workplace Training URL?
Your existing Workplace Training login URL will redirect users to the new Hub login page for a period after migration. We recommend updating any bookmarks or internal links to the new URL as soon as it is provided.
